Privacy Policy

Last updated: 2026-09-16

This policy explains what information Realtor Assistant collects, how it is used and stored, and the choices available to you. Realtor Assistant is a product of NextHelp. It also covers what happens when you connect Realtor Assistant to ChatGPT or another AI client, since that connection can both send it data and receive data back.

Account information

When you register, we collect your name, email address, and a securely hashed password (or, if you sign up with Google/Facebook, the verified email and name that provider gives us - we never receive or store your password on that provider). We use this information to authenticate you, operate your account, and communicate with you about your workspace and subscription. If your account belongs to more than one workspace, other members of a shared workspace can see your display name and, depending on what you post, your attribution on notes and activity - never your password or authentication credentials.

Property and listing data

Properties you save are stored under your workspace and can include: the address and, when available, geographic coordinates; MLS number; the original listing URL and source platform; pasted listing text; and any other structured facts (price, size, beds/baths, and similar) extracted from what you provide. Each workspace is isolated from other workspaces - members of one workspace cannot see another workspace's data, whether through the website or through a connected AI client. We keep this data to provide the service (search, comparison, and organization of your saved properties) for as long as your account and workspace remain active; deleting a property removes it from normal use immediately and it is purged from backups on the schedule described below.

Notes, tags, and custom fields

Notes you or a workspace member write on a property are stored exactly as entered, along with who wrote them and when. Tags (whether you add them or an AI analysis suggests them) and custom fields you define are stored the same way. These are visible to other members of the same workspace (a note can be marked author-only) and are never shared with another workspace.

AI-generated analysis

When a property is analyzed - by you pasting a listing, providing a link, uploading a document/image, or asking a connected AI client to do so - we store the resulting analysis: a summary, pros/cons, potential concerns, suggested tags, and similar content, together with basis metadata (an extraction-confidence score, a completeness score, and whether the analysis is flagged as needing review). Every re-analysis creates a new, separately stored version rather than overwriting the previous one, so you can see how an analysis changed over time. This content is generated from what you or the connected AI client supplied - we do not independently verify it against outside sources.

Uploaded media

Photos and documents you attach to a property or note are stored in private object storage and are only ever served through short-lived, signed links generated at the moment they're needed - never a permanent public URL, and never a raw storage path. We retain uploaded media for as long as it stays attached to a property in an active workspace; removing it deletes the association and the file is purged from backups on the schedule described below.

Connecting to ChatGPT or another AI client

If you connect Realtor Assistant to ChatGPT (or another MCP-compatible AI client), that connection uses OAuth: you log in and approve the connection on Realtor Assistant itself - your password is never entered into ChatGPT. We store the resulting OAuth client registration, the grant you approved (which workspace it covers and what scopes it was given), and the access/refresh token metadata needed to keep the connection working (issuance and expiry times, a hashed token value, and which resource/scope it is valid for - never the raw token itself once issued). You can review every active connection, and revoke any of them individually, at any time from Settings → Integrations; revoking immediately stops that connection from reaching your workspace's data.

When a connected AI client calls a tool, it can send us property/listing facts, pasted listing text, notes, uploaded media, and search/filter criteria, and - only when you ask it to analyze a link - the URL to fetch. In return, we send back the saved property record, note, or media item it asked for, filtered to contain only the fields that connection actually needs (never your workspace's internal identifiers, storage paths, or another member's authentication details). We do not send your data to OpenAI or any other AI provider except as part of directly fulfilling a tool call you or the client initiated through that connection.

Billing

If you subscribe to a paid plan, payment details are handled directly by our billing provider - we do not receive or store your full card number. We keep billing-provider metadata needed to operate your subscription (customer/subscription identifiers, plan, status, and invoice history) for as long as your subscription or account is active, and as long afterward as needed for accounting and tax purposes.

Operational and security data

Our infrastructure generates operational logs and metadata to keep the service reliable and secure: request timing, error information, a per-request identifier, and network-level data such as IP address and request headers. This is used only for operations, security (for example, detecting abuse or a compromised credential), and troubleshooting - never for advertising or building a profile of you across other services. It is retained only as long as needed for those purposes, on a rolling basis, and is not part of your exportable account data.

Backups

Backups of the underlying database are kept for a limited rolling window for disaster-recovery purposes only. Backups are not a substitute for exporting or managing your own data, and deleting something from your account removes it from normal use immediately even though it may persist in a backup until that backup ages out of the retention window.

Data retention

We retain your account and workspace data for as long as your account is active. If you delete your account, we remove your account and workspace data from active systems (subject to the backup window above and anything we must retain for legal, security, or accounting reasons).

Deletion and access requests

You can request a copy of, or deletion of, your account or specific workspace data at any time by contacting support@nexthelp.ai. We will act on verified requests as soon as reasonably possible, subject to what we need to retain for legal, security, or accounting reasons.

Security

Traffic to Realtor Assistant is encrypted in transit (HTTPS). Passwords and integration/OAuth token values are stored only as one-way cryptographic hashes, never in plain text - even we cannot recover them. We use access controls designed to limit who can reach your data. No system is perfectly secure, and we encourage you to use a strong, unique password and to review your connected apps periodically.

Third-party services

We rely on a small number of third-party services to operate Realtor Assistant - for example, a database host, an object storage provider, and (if you subscribe) a billing provider. These providers process data only as needed to provide their service to us, under their own terms.

Changes to this policy

We may update this policy as the product evolves. Material changes will be reflected on this page with an updated date above.
